Worship Attendance Reporting

One report the Pastor wants on Mondays is Worship Attendance. Today, I’ll share the report we used at my church.

Here’s some background:

*We had 2 morning services and an evening service
*We had just launched an overflow room in January of 2015 (anticipating increased attendance)
*Sunday school classes rotated in/out of overflow
*The count was conducted after the sermon began

The Report Format captured the following info:

1. Worship and On Campus Attendance (OCA) by week, by service. [Our definition of OCA – Worship Attendance (middle school and above) plus kids in Sunday School (infants thru 5th grade).]
2.These attendance #’s were compared to prior months and the prior year
3.We also had a place for notes about each Sunday
4.The Ratio of Attendance to Seats and % of Kids to OCA

Who Viewed the Report:

Weekly – our Sr Pastor and our XP
Monthly – Ministry Staff and Director of Facilities

Based upon the report below, here’s a few things it told us:

1. OCA was 764 in March – 15% higher than the same month a year ago, up 9% for the Qtr over Prior Year
2. 60% of our people were On Campus at the 11 hour
3. Kids were 26% of OC. Tracking against Bench Marks indicated we were above average in this area
4. We were running around 57% of Seating Capacity including Over Flow
5. Overflow was running around 31% of the capacity of the Over Flow Room
6. Evening service was attended by about a third of the morning services, around 170 folk

CBA Role:

It was my job to report the facts, present issues and options to the decision makers. The biggest thing I noticed was there was no need to use the Overflow Room. (the Sanctuary was no-where near full). Secondly, the drop in energy/excitement in the room once we launched the Over Flow Room was an unintended consequence.

Options:

1. At a minimum, discontinue Overflow in the 1st service as Sanctuary running about 50% full
2. Consider discontinuing overflow in the 2nd service as well as Sanctuary running 70% full. (there were 125 empty seats on avg).
3. Focus on improving the usher ministry to help people find seats
4. As final step, add more chairs to the sanctuary before opening Over Flow again. (the floor was configurable to seat 457 – another 40 chairs).

From there, the leadership considers the issues and options, brings others in – in this case, the Worship Pastor.
